Reports To: Chief Development Officer
Classification: Part-time, Non-Exempt, with the potential to transition to a Full-Time position as organizational needs and funding allow.
Estimated Weekly Time Allocation: To ensure a balanced workload and safeguard the core data and logistical priorities of this part-time role, weekly hours will be structured around the following targets:
- 35% - Donor Database & Development Operations
- 30% - Donor Stewardship & Engagement
- 20% - Team Support & Special Projects*
- 15% - Event Planning & Logistics*
*These two allocations adjust seasonally based on event and special project timing.
Position Summary
The Development Coordinator serves as a key member of the Development Team, providing operational, administrative, and stewardship support that increases the efficiency and effectiveness of Traffick911's fundraising efforts.
This role is responsible for donor database management, stewardship coordination, event logistics, administrative support, and special projects. The Development Coordinator helps ensure donors receive timely, meaningful engagement while supporting the team's ability to grow revenue and deepen community relationships.
The ideal candidate is highly organized, detail-oriented, proactive, and understands that strong systems, accurate data, and thoughtful follow-through are essential to meaningful donor relationships and successful fundraising efforts. Essential Duties & Responsibilities
Donor Database & Development Operations
- Serve as the primary administrator of Traffick911's donor database (Virtuous).
- Maintain donor records, gift entry, constituent information, communication preferences, and interaction tracking.
- Ensure the accuracy, integrity, and organization of all donor data.
- Create and manage donor lists, segmentation, reports, dashboards, and queries to support fundraising efforts.
- Support donor prospect research and moves management tracking.
- Manage development workflows, automations, and stewardship processes within the donor database.
- Monitor data quality and implement ongoing database cleanup and maintenance projects.
- Generate reports and insights that support fundraising strategy, donor stewardship, and organizational decision-making.
- Serve as a resource to team members on database-related processes and best practices.
- Support ongoing process improvement efforts to increase efficiency across the Development Team.
Donor Stewardship & Engagement
- Execute stewardship efforts for lower-level donor gifts, ensuring donors receive timely and meaningful acknowledgment.
- Coordinate team efforts for mid-level and major donor appreciation by assigning stewardship tasks and assisting with thank-you cards, donor gifts, milestone recognition, and personalized outreach efforts.
- Coordinate logistics for tailored stewardship initiatives such as holiday deliveries, Boo deliveries, donor gifts, and other appreciation activities.
- Support implementation of automated stewardship journeys and donor communications.
- Assist with monthly donor stewardship efforts.
- Ensure stewardship touchpoints are completed accurately and on schedule.
Event Logistics & Support
- Coordinate logistical aspects of fundraising and engagement events.
- Manage event timelines (using monday.com), registration materials, guest lists, seating charts, nametags, decor planning, day of event set up and tear down, and run of show.
- Coordinate vendor communication and event preparation.
- Track event revenue and expenses and assist with event reporting and reconciliation.
- Maintain event registration data and support post-event reporting and follow-up activities.
Administrative Support
- Provide administrative support to the Chief Development Officer and Development Team.
- Assist with scheduling, meeting preparation, follow-up tasks, and project coordination.
- Prepare materials for donor meetings, presentations, fundraising initiatives, and community engagement opportunities.
- Support the development team's use and optimization of Monday.com and other project management tools to improve workflow efficiency, accountability, and collaboration.
- Assist with maintaining project timelines, tracking deliverables, and coordinating team priorities.
- Support internal communication and coordination across the Development Team.
Community Engagement & Representation
- Represent Traffick911 at community events, volunteer opportunities, speaking engagements, and partner meetings as needed.
- Assist with volunteer and community engagement initiatives.
- Serve as an ambassador for Traffick911's mission and values within the community.
Team Support & Special Projects
- Provide administrative and data support across development functions as organizational needs evolve.
- Oversee database segmentation and mailing logistics of fundraising campaigns, donor communications, stewardship initiatives, and special projects.
- Contribute to a collaborative, solutions-oriented team culture.
- Identify opportunities to improve efficiency, streamline processes, and strengthen donor experiences.
Collaboration & Working Relationships
- Works closely with the Chief Development Officer to support fundraising priorities and team operations.
- Collaborates with Development Team members to coordinate stewardship, events, campaigns, and special projects.
- Partners with Program, Finance, Marketing & Communications, Operations, and Executive Leadership as needed.
- Communicates proactively, follows through on commitments, and contributes to a collaborative, solutions-oriented team culture.
This role does not:
- Act as the primary relationship manager for donors, churches, or volunteers.
- Lead grant writing or primary content creation/copywriting.
- Lead outward-facing community cultivation strategy.

Qualifications
Required

- Mature Christian faith
- Exceptional organizational skills and attention to detail.
- Strong project management and administrative abilities.
- Excellent written and verbal communication skills.
- Ability to manage multiple projects and deadlines simultaneously.
- Proficiency with Microsoft Office, Google Workspace, and database systems.
- Ability to maintain confidentiality and exercise discretion.
- Alignment with Traffick911's mission, values, and commitment to serving youth and families.
Preferred
- One to three years of experience in nonprofit, administrative, customer service, event coordination, development, or related roles.
- Experience working with donor databases or CRM systems (Virtuous preferred).
- Experience coordinating events, projects, volunteers, or donor communications.
- Demonstrated ability to learn and utilize technology platforms effectively.
Physical Demands
